YB PRO Social Media Account Coordinator

About the Role

The YB PRO Social Media Account Coordinator manages the day-to-day execution of assigned YouthBeat PRO client

relationships. The role sits between high-level account strategy and the production work needed to deliver on each client’s communications scope. The Coordinator keeps client communication responsive, translates priorities into production briefs and assignments, tracks approvals and deliverables, and makes sure monthly commitments are completed and documented. The Account Coordinator is not expected to independently set pricing, contract scope, major creative direction, crisis response, or organization-level strategy. The role creates enough structure and client follow-through for the Director / Communications Lead to focus on growth, relationships, strategy, creative direction, and higher-stakes decisions.

Core Responsibilities

Client Onboarding & Account Setup

● Set up new accounts using YouthBeat’s standard client onboarding process, including account brief, goals, audiences, platforms, content pillars, cadence, approval path, access, shared folders, meeting rhythm, and scope tracker.

● Confirm who can approve content, which assets are available, what media-release or privacy rules apply, and which client contacts own program information before production begins.

● Document client preferences and recurring needs so knowledge does not live only in meetings or one person’s inbox.

Weekly Account Management & Client Communication

● Prepare for and participate in recurring client meetings with a current view of upcoming content, open approvals, needed assets, recent performance, and next steps.

● Send or document clear follow-ups after meetings, including decisions, owners, deadlines, requested assets, and unresolved questions.

● Maintain routine professional communication with client contacts and follow up before missing information threatens a deliverable.

● Flag relationship concerns, repeated approval delays, major changes in direction, or requests that may affect scope to the Director / Communications Lead.

Content Planning & Production Coordination

● Maintain each assigned account’s content calendar and translate approved priorities into specific posts, Stories, Reels, graphics, photo/video assignments, field coverage, and community-management tasks.

● Create production briefs that identify objective, audience, platform, deliverable, assets, context, deadline, approval path, and client-specific standards.

● Coordinate assignments across apprentices and production contributors; make sure work is distributed realistically against deadlines and available hours.

● Complete first-pass review for accuracy, brand alignment, accessibility basics, release status, spelling, links, tags, and completeness before final approval.

● Consolidate revisions and keep the next action and deadline visible.

Apprentice Management & Learning

● Assign meaningful client work to YB PRO apprentices with clear briefs, examples, due dates, and review expectations.

● Confirm apprentices understand the client, audience, brand voice, file structure, and professional expectations before independent assignments.

● Provide routine coaching and first-line feedback and coordinate revisions before work advances.

● Work with the Communications Coordinator and Director / Communications Lead to identify portfolio-ready projects, training needs, and readiness for more responsibility.

Deliverables, Scope & Reporting

● Track contracted deliverables, production units, posting commitments, community-management time, meetings, and other recurring responsibilities throughout the month.

● Maintain organized client folders with briefs, assets, working files, approvals, final exports, published links, reports, and meeting documentation.

● Identify out-of-scope requests before YouthBeat commits additional time or deliverables and escalate scope or pricing questions.

● Prepare monthly account reports summarizing completed work, performance highlights, key wins, challenges, outstanding items, and next priorities.

● Use performance and client feedback to recommend practical workflow or content adjustments for leadership review.

● Ensure client media is properly managed and archived by apprentices and junior producers, according to our policies.

Role Authority & Escalation

The Account Coordinator may manage routine client communication, production coordination, calendars, assignments, first-pass review, approval tracking, approved publishing, and account reporting. The role may not independently change contract scope, pricing, major strategy, public positions, crisis response, sensitive youth or personnel communications, or commitments that create new YouthBeat obligations.

What We’re Looking For

● Strong client-service and project-management skills with the ability to manage multiple deadlines, approvals, requests, and contributors.

● Professional written and verbal communication, including comfort leading routine client check-ins.

● Experience in communications, social media, marketing, content production, account coordination, community engagement, or related work.

● Working knowledge of content calendars, social publishing, basic analytics, and photo/video/graphic production workflows.

● Ability to coach young people professionally while still protecting client quality standards and deadlines.

● Strong judgment around confidentiality, consent, youth safety, scope boundaries, and escalation.

● Experience with Google Workspace, Asana or similar tools, Hootsuite or another scheduler, Mailchimp, Canva, Adobe Creative Cloud, or comparable platforms is preferred.

Expected Schedule & Capacity

The role is expected to begin at approximately 15–20 hours per week supporting a typical portfolio of 2–4 active client accounts, depending on each account’s scope, production volume, meeting cadence, and field-coverage needs. The weekly allocation should increase when YouthBeat adds accounts or when contract scope expands. Some evening or weekend work may be required for client events or scheduled coverage.

Success in This Role

Success means clients know what is happening and what YouthBeat needs from them; calendars and approvals are current; apprentices receive clear, useful assignments; deliverables remain visible against scope; and leadership hears about risks early. The account should feel organized, responsive, and dependable without requiring the Director to personally manage every routine

detail.
