Job Overview

Pepperland Marketing is looking for a HubSpot Specialist to help schools, colleges, and universities get more value from HubSpot.

This is a hands-on, client-facing role for someone who already knows HubSpot well and is ready to take ownership of onboarding, implementation, optimization, and ongoing client requests. You’ll work directly with clients to understand their needs, configure HubSpot accordingly, train their teams, solve problems, and help ensure their CRM supports their broader marketing and enrollment goals.

You should be comfortable independently building workflows, lists and segments, properties, pipelines, forms, chatflows, reports, dashboards, and other HubSpot assets. You’ll also help manage imports, data cleanup, permissions, automation, and ongoing portal improvements.

Just as importantly, we’re looking for someone who wants to grow beyond configuration alone. You’ll work alongside Pepperland strategists and technical resources to deepen your skills in CRM strategy, systems architecture, integrations, data governance, and education technology. For the right person, this role can become a path toward increasingly sophisticated CRM and integration strategy responsibilities.

Key Responsibilities

  • HubSpot Onboarding & Implementation: Lead client onboarding and implementation projects from discovery and setup through launch, training, and ongoing optimization.
  • HubSpot Configuration: Build and maintain workflows, segments, properties, pipelines, forms, chatflows, lifecycle stages, automation, dashboards, reports, and other HubSpot functionality.
  • Client Support & Optimization: Fulfill ongoing HubSpot requests, troubleshoot issues, recommend improvements, and help clients continuously improve how they use the platform.
  • Client Communication: Meet directly with clients to gather requirements, explain recommendations, provide updates, conduct training, and help non-technical users feel confident working within HubSpot.
  • CRM Data Management: Support imports, exports, field mapping, data cleanup, deduplication, segmentation, permissions, and other activities that keep client portals accurate and usable.
  • Automation: Translate client processes into practical HubSpot automation that reduces manual work and improves communication, follow-up, and internal efficiency.
  • Quality Assurance: Test configurations and automations thoroughly before launch and help establish consistent QA practices across Pepperland’s HubSpot work.
  • Documentation & Process Improvement: Create clear documentation, SOPs, checklists, and reusable processes that improve the consistency and efficiency of future implementations.
  • Integrations: Configure and support common HubSpot integrations and assist with more advanced integration projects involving native apps, Make, Zapier, APIs, or other connected systems.
  • Reporting & Insights: Build reports and dashboards that help clients understand marketing, enrollment, and CRM performance and identify opportunities for improvement.
  • Cross-Functional Collaboration: Work with Pepperland’s Content Marketing, SEO/AEO, Digital Advertising, Enrollment Marketing, Client Success, design, and development teams to ensure HubSpot supports broader client strategies and campaigns.
  • Professional Growth: Continuously deepen your expertise in HubSpot, CRM strategy, marketing automation, integrations, and the technology ecosystems used by schools, colleges, and universities.

Qualifications

  • Demonstrated professional experience working hands-on in HubSpot. Prior HubSpot experience is required.
  • Ability to confidently configure and manage workflows, lists and segmentation, properties, forms, pipelines, automation, reporting, and CRM records.
  • Experience independently owning or leading HubSpot onboarding and implementation projects, including hands-on configuration, launch, and client training.
  • Strong problem-solving skills and the ability to troubleshoot issues independently.
  • Comfort working directly with clients or internal stakeholders to gather requirements, explain technical concepts, and translate needs into working solutions.
  • Strong organizational and project-management skills with the ability to manage multiple priorities and client requests.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, particularly when working with CRM data, automation, and configuration.
  • Ability and willingness to document processes and contribute to repeatable implementation standards.
  • Relevant HubSpot certifications are strongly preferred. Candidates should be willing to complete additional HubSpot certifications as part of their professional development at Pepperland.

Preferred Experience

Experience in one or more of the following areas would be especially valuable:

  • Working for a HubSpot Solutions Partner, digital agency, consultancy, or organization with a sophisticated HubSpot implementation.
  • Higher education, independent schools, K–12 education, admissions, enrollment management, or education marketing.
  • HubSpot Marketing Hub, Sales Hub, Service Hub, Data Hub, or Content Hub.
  • CRM data migrations, imports, cleanup, or field mapping.
  • Make, Zapier, APIs, webhooks, or other integration tools.
  • Salesforce, Slate by Technolutions, TargetX, Finalsite, Ravenna, Veracross, Blackbaud, or other education technology platforms.
  • Marketing automation, lead nurturing, lead scoring, lifecycle management, or CRM reporting.

We do not expect candidates to have experience with every platform or capability listed above. What matters most is meaningful hands-on HubSpot experience, strong problem-solving ability, attention to detail, and the ability to learn quickly.

Growth Opportunity

This position is designed for someone who wants to develop beyond HubSpot administration and implementation.

As your experience grows, you’ll have opportunities to take on increasingly complex work involving CRM architecture, data strategy, migrations, integrations, automation design, and client consulting.

Location Considerations

Both hybrid and remote working arrangements will be considered. While we fully support remote work, we strongly prefer candidates located within reasonable commuting distance of our office in Cheshire, Connecticut.

Occasional travel to our Cheshire office and client locations will be required.
