Email Specialist
St. George's UniversityEmail Specialist
About the Role
We are looking for a detail-driven Email Specialist to own the daily production of our email program across St. George's University (SGU) and Rocky Vista University (RVU). Working in both Mailchimp and Salesforce Marketing Cloud, you will build, test, and deploy the marketing and transactional emails that guide prospective and current students through every stage of the enrollment journey, from first inquiry to matriculation.
This is a hands-on production role. You will turn finalized designs and HTML into polished, on-brand email templates, set up audiences, and run thorough quality checks before every send. Partnering closely with the Manager, Marketing Automation, you will launch internal testing, validate quality, and make sure every scheduled send goes out on time, to the right audience, and error free each week.
You will thrive here if you take pride in flawless execution, enjoy the rhythm of a steady production calendar, and like being the person the team counts on to get every email built right and out the door.
What You Will Do
Build and deploy email campaigns
• Build, test, and deploy marketing and transactional emails in Mailchimp and Salesforce Marketing Cloud for SGU and RVU, working from approved briefs, copy, and designs.
• Produce the emails that support the student lifecycle, from first inquiry through matriculation, and complete every scheduled send each week on time.
• Keep the production calendar current so campaigns move smoothly from request to deployment.
• Follow email best practices for deliverability, consent, and data privacy, including CAN-SPAM.
Turn designs and HTML into email templates
• Convert finalized designs and HTML into responsive, on-brand templates that render cleanly across devices and email clients.
• Apply personalization and dynamic content so each message fits its audience and lifecycle stage.
• Build and maintain a library of reusable templates and content blocks, and apply consistent link tracking and tagging.
Build data extensions and audience targets
• Partner with the Manager, Marketing Automation to build and maintain data extensions and audience targets for email sends.
• Set up segments from provided criteria, and confirm that counts match expectations before launch.
• Support list hygiene and subscriber management so every send reaches the right people and keeps audience data clean and current.
Test and assure quality
• Partner with the Manager, Marketing Automation to launch internal testing and secure final approval before every send.
• Validate rendering across devices and email clients using testing tools such as Litmus or Email on Acid.
• Check links, tracking, personalization, audience targeting, and send logic on every email, and run seed or test sends to catch issues before subscribers do.
• Troubleshoot rendering and deliverability problems and resolve them ahead of deployment.
Collaborate across teams
• Work closely with business stakeholders, designers, copywriters, and the brand marketing team to confirm requirements and gather the assets and approvals each send needs.
• Keep every project aligned to brand standards, on specification, and on schedule, and flag risks early so nothing slips.
• Work alongside in-house and agency resources, and manage campaign checklists and approvals so launches run smoothly and deadlines are met.
Measure and report on performance
• Track and report on email performance across the enrollment funnel, including delivery, open, click, click-to-open, conversion, and unsubscribe rates.
• Build and maintain regular reporting, from individual send recaps to weekly and monthly summaries, and share clear takeaways with stakeholders and leadership.
• Turn results into recommendations, spotting what is working and where to improve, and measure performance against goals.
• Run A/B tests on subject lines, content, and send timing, document the results, and apply what you learn to future sends.
What You Bring
Required
• Two to four years of hands-on experience building and deploying email campaigns in a marketing automation or email platform.
• Practical experience in Salesforce Marketing Cloud (Email Studio) and Mailchimp, or a comparable platform you can transfer from quickly.
• Working knowledge of HTML and CSS for email, enough to convert finished designs into responsive templates and troubleshoot rendering issues.
• Experience with email testing and rendering tools such as Litmus or Email on Acid.
• Experience building audiences and data extensions and confirming they are accurate before launch.
• Comfort pulling email performance reports and turning metrics into clear, useful takeaways.
• Sharp attention to detail and a disciplined, checklist-driven approach to quality assurance.
• A proven ability to manage multiple campaigns and deadlines in a fast-paced environment.
• Strong communication and collaboration skills, with reliable follow-through across designers, copywriters, brand marketing, and business stakeholders.
• A solid grasp of email best practices, including deliverability and compliance such as CAN-SPAM and related privacy rules.
Nice to have
• Salesforce Marketing Cloud Email Specialist certification.
• Experience with Journey Builder and Automation Studio for triggered and scheduled sends.
• Experience producing transactional emails as well as marketing campaigns.
• Familiarity with reporting tools such as Insights Studio, and with A/B testing.
• Experience in higher education, enrollment marketing, or another regulated, deadline-driven field.
• Bachelor's degree, or equivalent hands-on experience.
