Job Summary: The Marketing Operations Specialist supports the execution of our marketing initiatives and ensures the efficient operation of our marketing systems and processes.
This role serves as the operational foundation of the marketing department, overseeing HubSpot CRM administration, lead management, email marketing, trade shows and events, and promotional merchandise. This role requires a focus that is proactive, highly organized, technically proficient, and enjoys bringing structure and consistency to fast-moving marketing initiatives.
This position works closely with sales, service, leadership, and external partners to ensure marketing programs are executed accurately, efficiently, and on schedule.
Key Responsibilities:
Marketing Operations
- Serve as the primary administrator for HubSpot CRM.
- Maintain CRM data quality, workflows, forms, contact lists, and reporting.
- Manage lead routing and ensure timely distribution of incoming sales inquiries.
- Support ongoing optimization of marketing automation and CRM processes.
- Assist with campaign setup, tracking, and reporting.
Sales & Marketing Campaign Support
- Assist with the planning and execution of integrated marketing campaigns.
- Coordinate campaign assets, timelines, and internal communication.
- Work with the sales team to support lead generation initiatives.
- Prepare campaign reports and performance summaries.
Trade Shows & Events
- Coordinate company participation in industry trade shows, customer events, and internal meetings.
- Manage event logistics including registration, booth materials, shipping, vendor coordination, travel arrangements, and schedules.
- Maintain event calendars and marketing collateral inventories.
- Coordinate post-event follow-up activities.
Promotional Merchandise (SWAG)
- Manage CraneWorks' promotional merchandise program.
- Coordinate branded apparel and promotional product orders.
- Maintain inventory levels and vendor relationships.
- Fulfill internal requests from branch locations and sales representatives.
Marketing Administration
- Coordinate marketing project timelines and priorities.
- Assist in maintaining brand standards across all marketing materials.
- Organize digital assets and marketing resources.
- Assist with website updates and content management as needed.
- Support department budgeting, purchase orders, and vendor coordination.
Cross-Functional Collaboration
- Partner closely with Sales, Service, HR, and branch leadership.
- Coordinate with outside vendors and marketing partners.
- Support company-wide communications and special projects.
- Provide administrative support for marketing initiatives as needed.
Physical & Environmental Requirements:
To perform the essential functions of this position, an employee must be able to:
- Regularly sit, stand, walk, bend, reach, and climb throughout office, shop, and yard environments.
- Occasionally lift up to 25 pounds independently and up to 50 pounds with assistance.
- Operate computers, mobile devices, and office equipment.
- Read technical documents, repair orders, and financial reports.
- Communicate effectively in office and industrial environments.
Work Environment:
- Combination of office, shop, yard, and customer locations.
- Exposure to moving mechanical equipment, noise, vibration, dust, fuels, oils, and varying weather.
- Required use of Company-issued and OSHA-required PPE when entering operational areas.
- Occasional travel between branches and customer sites.
- effectively in office and industrial environments.
