CRM and Email Marketing Specialist
Under the general direction of the Marketing Technology and Operations Manager, the CRM and Email Marketing Specialist supports Katten’s Salesforce CRM platform and email marketing function. The Specialist builds and deploys email campaigns in Vuture and contributes to email marketing strategy, including audience segmentation, cadence, and performance measurement. The role works closely with the Firm's Digital Marketing Analyst as well as other Marketing team members.
The Specialist supports attorney and staff users and works on Salesforce configuration, process automation, reporting, documentation, and general system troubleshooting. The Specialist actively participates in discovery sessions, helping to translate business needs into scalable platform solutions. The Specialist also ensures that CRM data standards are followed to keep the Firm's database accurate and trustworthy. The role requires clear communication with both technical and non-technical audiences and strict confidentiality in all client and Firm matters.
This position can be located in the Chicago, Washington D.C. or New York office. Katten offers a hybrid work model, allowing the flexibility to work both on-site and remotely on a regular basis (KattenFlex).

- Configure and maintain the Salesforce platform, including core object and field setup, validation rules, page layouts, user permissions, and supported third-party integrations.
- Create and maintain screen flows and process automations that streamline data entry, approvals, and repetitive user tasks.
- Work closely with the Marketing team to design and maintain reports and dashboards that give attorneys, business professionals, and Firm leadership visibility into pipeline, activity, and client relationships.
- Ensure data integrity through regular audits and consistent data hygiene standards across the Firm.
- Partner with stakeholders across the Firm to gather requirements and translate them into scalable Salesforce solutions that users will adopt.
- Champion CRM best practices Firmwide, reinforcing consistent data entry habits and effective use of platform functionality.
- Support attorney and staff users with Salesforce onboarding and manage upkeep of written and video training materials.
- Stay current on Salesforce releases and evaluate new features and AppExchange tools relevant to a professional services environment.
Knowledge, Skills and Abilities
- Bachelor’s degree and three or more years of experience as a Salesforce Administrator or Salesforce Consultant. Experience in a law Firm, consulting, or professional services environment preferred. Salesforce Administrator certificate required.
- Hands-on experience with a marketing automation or email marketing platform such as Vuture, Marketing Cloud, Pardot, or HubSpot, including building and deploying campaigns, managing audience segmentation, building forms and landing pages, and interpreting engagement metrics to improve performance.
- Direct experience building process automation with Salesforce Flow, including proactively identifying opportunities to reduce manual effort in cross-functional workflows.
- Experience leveraging AI tools and technology to improve the efficiency and effectiveness of operations and processes.
- Demonstrated experience leading or executing data quality initiatives, with the ability to speak to a specific project where data integrity was improved, deduplication or standardization logic was built, or governance standards were established, including the measurable impact.
- Strong analytical, critical thinking, and troubleshooting skills, with the ability to assess ambiguous problems, recommend practical solutions, and communicate them clearly to both technical and non-technical stakeholders.
- Dependable team player who works collaboratively and cooperatively with others in a team-oriented environment. Ability to act independently and make decisions within scope of the position’s responsibilities.
In our DC office, the annualized salary range for this position is $90,000 to $105,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
