About the role
This role supports the execution of integrated media buys across a wide range of channels by coordinating administrative processes, maintaining accurate media records, and helping ensure campaigns run according to approved plans, timelines, and agency standards. The position plays a key operational and financial support function by tracking invoices, researching billing discrepancies, assisting with reconciliation and payment processing, and working closely with vendors, buyers, finance teams, and internal partners to resolve issues efficiently. It also contributes to campaign stewardship by monitoring delivery, documenting makegoods and added value, and preparing post-buy analyses, performance reports, and other materials that support informed decision-making and client reporting. Through strong attention to detail, collaboration, and adherence to established workflows, this position helps maintain quality, consistency, and accountability while building foundational media buying knowledge across channels and marketplaces.
What you'll do
- Support media buying execution across channels — Assist with the coordination and administration of media buying activities across broadcast, cable, radio, streaming, digital, social, out-of-home, and other approved media channels. Support buyers in executing approved media strategies while ensuring accuracy, timeliness, and adherence to agency standards.
- Manage invoice and discrepancy resolution — Monitor invoice status, identify missing or inaccurate invoices, and work with vendors, buyers, finance teams, and internal stakeholders to investigate and resolve billing issues, delivery discrepancies, and documentation concerns. Ensure media records remain accurate and current.
- Support media stewardship and makegood administration — Assist with tracking campaign delivery, managing underdelivery situations, documenting makegoods, bonus weight, and vendor commitments, and helping buyers ensure media obligations are fulfilled according to approved plans and contractual agreements.
- Compile reporting and post-buy analyses — Prepare campaign delivery reports, post-buy analyses, added-value recaps, performance summaries, and supporting documentation across assigned markets and clients. Ensure data is accurate, organized, and available for planning, buying, and client reporting purposes.
- Support financial accuracy and payment processing — Partner with buyers, planners, vendors, and accounting teams to research billing questions, validate supporting documentation, reconcile media records, and facilitate timely payment approvals.
- Maintain media systems and documentation — Enter, update, validate, and organize media buying information within approved buying, billing, reconciliation, and workflow systems. Ensure records, authorizations, schedules, and supporting materials remain accurate and accessible.
- Collaborate across teams and disciplines — Work effectively with media planning, account management, strategy, finance, vendors, and other agency teams to support successful campaign execution and smooth communication across functions. Contribute positively to team discussions, information sharing, and collaborative problem-solving.
- Develop media buying expertise and industry knowledge — Build foundational knowledge of media buying principles, media marketplaces, negotiation practices, vendor relationships, campaign delivery, billing processes, and channel-specific buying considerations through training, observation, and hands-on experience. Apply new knowledge to assigned responsibilities while preparing for increased buying ownership.
- Follow media buying processes and quality standards — Apply established agency procedures, workflow standards, quality-control practices, and documentation requirements to ensure operational consistency, minimize errors, and support reliable media execution. Contribute ideas that improve efficiency and process effectiveness.

Qualifications
- Relevant Degree — Bachelor's degree in Advertising, Marketing, Communications, Business, Media Studies, Journalism, Analytics, or a related field, or an equivalent combination of education and professional experience demonstrating the ability to support media buying, campaign administration, reconciliation, reporting, and client service activities.
- Campaign & Reporting Support — Experience gathering, organizing, validating, or communicating campaign-related information, including delivery tracking, reporting, financial documentation, performance summaries, spreadsheets, or operational support materials.
- Media Support — 0-1 year of professional experience in media buying, media planning support, campaign trafficking, ad operations, or agency account coordination with demonstrated responsibility for insertion orders, campaign documentation, or reporting tasks across one or more media channels.
- Technical & Systems Aptitude — Demonstrated ability to learn and effectively utilize software platforms, media systems, spreadsheets, workflow tools, or other business applications that support media operations, reconciliation, reporting, and campaign administration.
- Media & Marketing Certifications (Preferred) — Professional certifications, coursework, or training related to advertising, media buying, media planning, digital marketing, audience measurement, campaign management, analytics, advertising technology, or media operations are preferred.
- Technical & Business Systems Training (Preferred) — Professional certifications, coursework, or training related to media management systems, workflow platforms, billing and reconciliation tools, spreadsheet analysis, reporting platforms, business software, or other technologies used to support media operations are preferred.
